The back-office gap

Small fleets need a repeatable routine—not another complicated platform.

When nobody owns the administrative routine, files drift out of order, renewals sneak up, and owners end up chasing paperwork after hours.

01

Files are inconsistent

Driver folders use different names and structures, making routine review slower and harder to delegate.

02

Missing items stay hidden

Supplied records are scattered across email and folders without one dependable administrative inventory.

03

Deadlines get buried

Expirations compete with dispatch, customers, equipment, payroll, and every other operating priority.

A narrow, useful service

Administrative help with a firm boundary.

DQ File Desk handles repeatable file administration inside your approved, customer-controlled secure storage. We escalate unclear or incomplete items to your company.

Included in the pilot

  • Standardized folder and naming structure
  • Administrative inventory of supplied documents against an expert-reviewed checklist
  • Missing-item and expiration report
  • Reminder and expiration calendar
  • Monthly red / yellow / green administrative status summary
  • Escalation of unclear or incomplete items to the carrier

Not included

  • Legal advice, regulatory interpretations, or guaranteed compliance
  • Safety-director duties, audit representation, or final decisions
  • Deciding whether a driver is qualified
  • Drug and alcohol program or Clearinghouse work
  • Hours-of-service, vehicle maintenance, accident, or broader safety-program administration
  • Obtaining MVRs, consumer reports, or sensitive records unless separately reviewed and contractually approved
Your company remains responsible. The carrier is responsible for regulatory compliance, record completeness, and every driver-qualification decision. DQ File Desk provides administrative organization, visibility, reminders, and escalation—not a compliance guarantee.
How the pilot works

Three steps from application to a usable file routine.

Apply

Tell us about your fleet and current administrative problem. Do not send driver records.

Qualify and pay

If the pilot fits, we confirm scope, complete the written agreement, and send a secure Stripe invoice.

Reset and report

We work only in the approved secure workspace and provide a missing-item report, expiration calendar, and monthly status summary.

Best initial fit: approximately 5–20 drivers and no dedicated safety administrator.

Built for the owner, controller, office manager, or safety lead who needs a dependable administrative routine.
